Travel Wise Safari Terms and Conditions
At Travel Wise Safari, we believe in transparency. These Terms & Conditions explain how bookings, payments, cancellations, insurance, and responsibilities work. They protect both our guests and our business, ensuring your safari experience is smooth, secure, and enjoyable.
By confirming a booking, you agree to the terms below.
1. Acceptance of Terms
By booking a safari with Travel Wise Safari Ltd., you confirm that you have:

These terms ensure fairness and clarity for everyone involved.
2. Booking Process
Your safari is considered officially confirmed only when:

You have approved the final itinerary and price.

You have paid the required deposit.
Once these steps are completed, we will send you:

A written confirmation letter

A registration form requesting traveller information (passports, dietary preferences, rooming details, etc.)
Only requests written in the registration form (or email confirmation) are considered part of your official booking. Verbal requests or messages outside the booking record are not guaranteed.
Travel Wise Safari may decline a booking before documents are finalised if the booking risks operational, safety, or compliance standards.

3. Price Guarantee
We make every effort to keep your price stable once booked. However, some external factors may require price adjustments, including:

The government increases park fees or taxes

Fuel cost fluctuations are affecting transport

Significant exchange rate changes between USD and supplier currencies
-
Supplier or system errors that mistakenly created unreal pricing
If any increase applies, we will inform you immediately — you will never be charged without explanation or approval.
4. Payment Terms & Flexible Payment Plan
We offer a customer-friendly payment structure designed to make booking your safari more comfortable and financially manageable, especially for early bookings and high-season dates.
Step 1 — Initial Deposit (10–20%)

Paid when you confirm your safari.

This small initial commitment reserves your safari dates and begins the reservation process for camps, flights, park fees, and vehicles.
Step 2 — Second Payment (20–30%)
Due 2–3 months before the safari start date.
This payment allows us to finalise:

Domestic flights
-
Accommodation
-
Park permits
-
Reserve vehicles and safari logistics
Step 3 — Final Balance (Remaining Amount)
Due 5–10 days before your safari begins.
Once paid, we send:

Final safari itinerary
-
Domestic flight tickets
-
Pickup and meeting instructions
-
Safari preparation documents
Accepted Payment Methods:

✔ Credit/Debit Card
✔ Secure Online Payment Link (Pesapal)
✔ USD / EUR / GBP / TZS accepted
Note: Bank fees or processing charges are the client's responsibility.
5. Late Payment Policy
All payments must be completed by the agreed deadlines stated on your invoice.
If payments are delayed:

A 3.5% late fee may be added to the outstanding balance.

Lodges, flights, or park reservations may be cancelled or released by suppliers.

The booking may be treated as a cancellation (see Section 6).
To avoid complications, we highly recommend paying in full at least 14 days before arrival, or you can pay in cash. But discussion is allowed if you see paying all the amount is the problem, our team will take care and listen to your concerns
6. Cancellation & No-Show Policy
Because most safari services must be prepaid and are often non-refundable, the cancellation policy is as follows:

Cancellations made 20 days or more before the safari start date may be eligible for a refund, minus any bank fees and penalties charged by suppliers such as lodges, airlines, or park authorities. In some cases, a travel credit may be issued instead of a refund, depending on the supplier's terms.

Cancellations made less than 20 days before the safari start date are fully chargeable, and 100% of the safari cost will be forfeited.

Domestic flights are non-refundable once tickets have been issued. Airlines typically apply a penalty of 50–100% of the ticket value, depending on their rules.

If a traveller does not arrive for their safari without giving notice (no-show), no refund or credit will be issued.
📌 Travel insurance with cancellation coverage is mandatory to protect you from unexpected situations or changes.
7. Changes to Itineraries
Changes by Travel Wise Safari
Sometimes adjustments are necessary because of weather, road conditions, national park regulations, or supplier availability. When this happens, we ensure any replacement is:

Same standard or higher

Safe and appropriate
Note: But no changes will be made without informing you.
Such adjustments are standard in safari travel and do not qualify for refunds.
Changes Requested by the Traveller
Changes after confirmation may involve:

Administration fees
-
Supplier change penalties
-
Additional charges if upgrades are requested
All changes must be requested in writing.
8. Insurance Requirement
Every traveller must have insurance that covers:

Trip cancellation or interruption
-
Medical treatment and emergency evacuation
-
Personal injury
-
Lost or damaged baggage
Travelling without insurance is done at your own risk and responsibility.
9. Traveler Fitness & Conduct
Safari travel may include early mornings, long driving days, rough terrain, and wildlife environments. You are responsible for ensuring you are physically prepared.
Travel Wise Safari may terminate a safari without refund if a traveller:

Behaves unlawfully

Puts others at risk
-
Harms wildlife
-
Disrupts the experience of other guests
10. Liability Limitations
Travel Wise Safari is not responsible for:

Airline delays or cancellations
-
Third-party service failures
-
Government decisions, weather conditions, or events beyond control

Costs from missed connections, flight delays, or itinerary changes outside our control
Guests acknowledge the inherent risks of safari travel due to wildlife environments and natural terrain.
11. Optional Activities
Optional add-ons such as balloon safaris, diving, water sports, cultural experiences, or spa services are operated by third-party companies. Travel Wise Safari does not control its refund policies, safety standards, or operational decisions.
12. Legal Jurisdiction
All bookings and disputes are governed under Tanzanian Law, and any legal action must be filed in a Tanzanian court.
13. Client Protection & Security

All supplier payments are made in advance to secure your services.

Deposits and operational funds are managed responsibly.

Mandatory travel insurance provides an added layer of protection.
