Travel Wise Safari Terms and Conditions

1. Acceptance of Terms

By confirming a booking with Travel Wise Safari Ltd., you acknowledge that you have read, understood, and agreed to abide by the following Terms and Conditions. These terms are designed to ensure clarity, fairness, and protection for both our guests and our company.

 

 

2. Booking Process

  • A booking is confirmed once you have agreed to the safari itinerary and quotation with our team and we have received the required deposit.

  • A written confirmation and registration form will be issued upon receipt of your deposit.

  • Only requests documented in the registration form are considered part of the contract. Requests made outside the form are not contractually binding.

  • Travel Wise Safari reserves the right to decline a booking at any stage prior to issuing final confirmation paperwork.

 

3. Price Guarantee

Once your booking and deposit are received, prices will be honored except in the following cases:

  • Government taxes/fees: Any increases in park fees, concession fees, VAT, or similar government charges.

  • Fuel surcharges: Substantial fluctuations in fuel prices.

  • Exchange rates: Supplier surcharges due to extreme currency changes.

  • Major errors: Obvious undercharges caused by clerical or supplier mistakes.

 

4. Payment Terms

  • Camping Safaris – 15% deposit required.

  • Lodge Safaris – 30% deposit required.

  • Tailor-made Safaris – 10–70% deposit depending on customization.

  • Final balances must be settled before safari departure (preferably in cash upon arrival).

Accepted payment methods: bank transfers, credit cards, and online payments (PesaPal). All payments must be made to company accounts in Tanzania. Bank/transfer/card charges are the responsibility of the client.

For group bookings, the group leader remains financially responsible for the entire booking, even if individual members make separate payments.

 

 

5. Payment Policy & Late Payments

  • All balances must be paid by the due date indicated on your invoice (or latest, upon arrival before safari departure).

  • Late Payment Policy:

    • Payments not received by the agreed due date may incur a 5% late payment surcharge on the outstanding balance.

    • Travel Wise Safari reserves the right to treat unpaid bookings as cancellations, with cancellation charges applied (see Section 6).

👉 To avoid delays or complications, we strongly recommend completing full payment at least 14 days before arrival.

 

 

6. Cancellation & No-Show Policy

We recognize that unforeseen circumstances may arise, but cancellations can create significant financial loss because many services (lodges, flights, permits) are prepaid and non-refundable.

  • Cancellations 20 days or more before safari start date – Refund available, minus bank fees and any third-party supplier penalties (e.g., lodge policies, airline rules). In some cases, a credit note may be issued instead of a cash refund.

  • Cancellations less than 20 days before safari start date – 100% of safari cost forfeited.

  • Domestic flights – Once booked, generally non-refundable. In case of cancellation, 50–100% of the ticket cost will be charged depending on airline policy.

  • No-show Policy – If a client fails to arrive on the scheduled safari start date without prior written notice, the booking will be considered a no-show. In such cases, 100% of payments made are forfeited with no refund or credit applicable.

👉 Full travel insurance is mandatory to cover cancellations, trip interruptions, or emergencies.

 

 

7. Changes to Itineraries

By the Company

  • We reserve the right to rearrange park order, routes, or accommodation of equal standard when required (e.g., due to weather, room availability, road closures).

  • Substitute suppliers may be used in the event of failure or unavailability.

  • Minor changes (e.g., lodge swaps, route adjustments) do not entitle clients to cancel without penalty.

By the Client

  • Amendments requested after confirmation may incur an administration fee.

  • If amendments involve cancellation of any part of the itinerary, cancellation charges apply.

  • Additions to itineraries can usually be made without penalty.

 

 

8. Insurance

  • Comprehensive travel and medical insurance is mandatory for all clients.

  • Your policy must cover: trip cancellation, medical emergencies, evacuation, repatriation, death, personal injury, and loss/theft of property.

  • Travel Wise Safari is not responsible for guests traveling without adequate coverage.

 

 

9. Tour Suitability & Conduct

  • Our safaris may involve physically demanding conditions. Clients must disclose any relevant health, fitness, or mobility issues at booking.

  • Travel Wise Safari reserves the right to refuse service or terminate a safari without refund for clients whose behavior is disruptive, illegal, unsafe, or causes distress to others.

 

 

10. Liability & Limitations

Travel Wise Safari is not liable for:

  • Delays, cancellations, or damages caused by airlines, lodges, third-party suppliers, or force majeure (e.g., natural disasters, political unrest, strikes, terrorism).

  • Loss or injury caused by negligence of third-party service providers.

  • Additional costs caused by flight delays, missed connections, or changes beyond our control.

Clients accept that traveling in Africa carries inherent risks and must exercise reasonable caution.

 

 

11. Additional Excursions

Optional activities (e.g., balloon safaris, cultural tours, water sports) booked during your safari are not part of the Travel Wise Safari contract. We accept no liability for these third-party services.

 

 

12. Legal Jurisdiction

All bookings are subject to Tanzanian law. Any disputes shall be settled exclusively in the courts of Tanzania.

 

 

13. Customer Protection

  • All supplier payments are made in advance to ensure your safari services are secured.

  • Company profits are held in a separate account until clients complete their safari.

  • Clients are required to hold comprehensive travel insurance for additional protection.
